About us
As a grassroots, peer-informed nonprofit, we provide low-barrier, life-saving services to community members who are unhoused, street-involved, or precariously housed. Our work is grounded in harm reduction, cultural safety, trauma-informed practice, and the wisdom of lived and living experience.
The Eddy is a 24/7 year-round shelter serving up to 25 guests. As an interim shelter, we function as an important bridge while a permanent supportive housing shelter is developed in our community. Over the next 18 months we are committed to creating a warm, welcoming and dignified space for guests, while fostering a supportive and collaborative workplace for staff.
About the role
The Administrative Coordinator helps keep the organization organized, steady and supported behind the scenes. While much of our work happens on the front lines, strong administrative systems help everything run smoothly and allow staff to focus on supporting people.
This role looks after daily finances, records, file management and office systems. We’re looking for someone who is calm, detail-oriented and flexible, who can bring order without needing everything to be perfect, and who understands that good administration is part of caring for people.
What you’d be doing
Financial administration
- Process invoices, payments, reimbursements and deposits
- Keep financial records, receipts and supporting documents organized
- Support budgeting and expense tracking
- Help prepare information for bookkeeping, payroll and grant reporting
Administrative support
- Keep digital and paper files organized and up to date
- Support staff with forms, documents and administrative tasks
- Help coordinate meetings, take minutes and maintain calendars
- Maintain office supplies, forms and administrative systems
- Support data entry and simple reporting as needed
Team support
- Help implement organizational policies and procedures
- Maintain confidentiality and handle sensitive information with care
- Support improvements to systems that make work easier for staff
- Provide occasional reception support, including emails and phone calls
What we’re looking for
- Strong organizational skills and attention to detail
- Experience with office or financial administration
- Comfort using spreadsheets, email and basic office software
- The ability to manage multiple tasks and work independently
- Clear and respectful communication skills
- The ability to handle confidential information appropriately
Helpful, not required
- Experience in non-profit or community-based work
- Familiarity with basic financial tracking
- Experience with grant reporting
- Lived or living experience of substance use, homelessness, poverty, or mental health challenges
- An understanding of harm reduction, cultural safety and trauma-informed practice
